Missed call text back for contractors: setup and scripts

How missed call text back works, the setup options compared, A2P 10DLC and texting rules in plain words, and 12 texts builders can copy.

A phone lighting up on a truck dashboard while a builder works on a ladder outside

You’re on a ladder. The phone rings in your pocket. By the time you climb down, it’s a missed call from a number you don’t know. You call back an hour later and get voicemail. They already called the next builder on the list.

Missed call text back fixes that. When you can’t answer, the caller gets a text from your business within seconds saying who you are and what happens next.

What missed call text back is

Missed call text back is an automatic text sent to anyone who calls your business number and doesn’t reach you. It goes out a few seconds after the call ends.

The caller now has a text thread with your business. They can reply with what they need, and you can answer from the job site. Some people would rather text than leave a voicemail, and a quick reply tells them a real business got the call.

How missed call text back works

There are three parts, and none of them is complicated.

  1. A business number that runs through software. This is a phone number managed by a business phone app, a lead system or a call service, not just the SIM card in your phone. The software sees every call that comes in and whether someone picked up.
  2. Forwarding so the calls still ring you. The business number rings your cell (and the office, if you want). If nobody answers after a set number of rings, the software marks it as missed.
  3. The automatic text. When a call is marked missed, the software sends your saved message to the caller’s number, from your business number.

If you want to keep your current cell number

If your cell number has been on your truck for 15 years, you probably don’t want to change it. You have two choices:

  • Port the number (move it) to the business phone service, if they support that. Ask before you sign up. Your number stays the same; the service now runs it.
  • Use conditional call forwarding. Your cell carrier sends only the calls you don’t answer to the service’s number, which then texts the caller. On Verizon, for example, you dial *71 plus the 10-digit number to forward only unanswered calls, and *73 to turn it off. Other carriers use different codes or a setting in your phone, so check with yours.

The catch with conditional forwarding: the text usually comes from the service’s number, not the cell they dialed. Put your company name in the first few words so it doesn’t look like spam.

Why missed call text back matters for builders

Builders miss a lot of calls. You’re on a roof, in a crawlspace, running a saw, on a site walk with a client, or driving with the phone in the console. New leads also call at 7 p.m. and on Saturday mornings.

A missed call from a new number is often a homeowner working down a list. If they reach voicemail, they may hang up and call the next builder. A fast text holds them. It doesn’t win the job, but it keeps you in the running until you can call back.

The research backs up the speed part. A 2011 Harvard Business Review study, “The Short Life of Online Sales Leads”, found firms that contacted leads within an hour were nearly 7 times as likely to have a meaningful conversation with a decision maker as firms that waited longer. It wasn’t about builders, but the pattern fits. More on this in speed to lead for contractors.

Missed call text back options compared

There are four common ways to get it. Prices change and vary by area, so get quotes. This table compares how they work.

Option How it works Pros Cons Fits
Phone or carrier features Your carrier or phone’s business features handle forwarding or an auto-reply Cheapest. Little to set up Often one message for every call, no schedule, no lead log. Not every carrier offers an auto-text Solo builder testing the idea
Business phone (VoIP) app A separate business number in an app that rings your cell, with texting, voicemail and call logs Business and personal calls stay separate. Shared inbox. Look for business-hours schedules Another app to check. Lead tracking is basic Small crew with an office person
CRM or lead system Missed call text-back built into the system that also holds form leads, follow-ups and reminders Every lead in one list. Form text-back, follow-up and reporting in one place Costs more. Takes setup time Builders spending real money on ads or lead sites
Answering service Live people answer when you can’t, take a message and pass it on A human voice. Good for emergencies and warranty calls Ask how they bill: per minute, per call or monthly. Staff may not know your trade Builders with many after-hours or service calls

Questions to ask any provider

  1. Can it send a different text during work hours, after hours and on weekends?
  2. Can I port my current number, or text-enable it?
  3. Does it handle A2P 10DLC registration, and what does it need from me?
  4. Does it handle STOP replies automatically?
  5. How many rings before a call counts as missed? Can I change it?
  6. Does it alert me by text when someone replies?
  7. Does it log the lead somewhere I can see later?

How to set up missed call text back

The menus differ by provider, but the steps are the same.

  1. Pick the number customers call. It should be the number on your Google profile, website, truck and yard signs. If those don’t match, fix that first. (See Google Business Profile for contractors, or run the free 2-minute check.)
  2. Set up forwarding. Have the business number ring your cell, or set conditional forwarding from your cell. Let it ring about 20 to 25 seconds before it counts as missed, so you have time to answer.
  3. Register for texting. Complete A2P 10DLC registration through your provider (explained below). Do this first, because it can take time.
  4. Write your messages. At least three: work hours, after hours and weekend. Scripts are below.
  5. Set your hours. Tell the system when you’re working, when you’re closed and which days are holidays.
  6. Turn on reply alerts. When a caller texts back, the person on duty should get a notification right away.
  7. Connect it to your lead list. Every missed call that replies should land in the same list as your form leads.
  8. Update your voicemail greeting to match (script below).

How to test it

Do this from a phone your system doesn’t know.

Test What to check
Call during work hours and let it ring out Text arrives within a minute. Right message. Your company name is in the first line
Call and hang up after 1 ring Decide if you want a text for this. Ask your provider how it treats very short calls
Call after hours The after-hours message goes out, not the work-hours one
Call on a Saturday The weekend message goes out
Reply to the text You get an alert on your phone. The reply shows up in your lead list
Reply STOP The system confirms and stops texting that number
Call from a landline, if you can A landline may not get the text. Make sure your voicemail covers it

If a text sounds like a robot, rewrite it.

A2P 10DLC registration, explained plainly

  • A2P means application to person: texts sent by software, not typed one by one on your phone.
  • 10DLC means 10-digit long code: a regular local phone number, like (555) 123-4567.

The U.S. carriers set this up to verify who’s sending business texts on regular numbers and to cut spam. The texting provider Twilio says anyone sending messages from an application over a 10DLC number to the U.S. must register. Your provider handles the filing. You supply the details.

What registration asks for

There are two parts. Based on Twilio’s list of required business information:

Brand (who you are):

  • Your legal business name, matching your EIN paperwork
  • Your EIN (tax ID)
  • Business type and industry
  • Your business address
  • A working website related to your business name
  • An authorized contact: name, title, phone and a business email

If you’re a sole proprietor without an EIN, there’s a separate sole proprietor path with lower limits.

Campaign (what you’ll send):

  • A description of who you text and why
  • How people opt in (for missed call text back: they called your business number first)
  • 2 to 5 sample messages that name your business
  • How people opt out and get help

For missed call text back, describe it plainly: “We send one text reply to people who call our business number and don’t reach us, so they can tell us what they need.” Use the samples from your real scripts. If you also plan to send promotions, say so. Don’t hide it.

Why unregistered texts get blocked

Carriers filter texts from unregistered numbers. Twilio, for example, blocks messages to U.S. numbers sent from a 10DLC number that isn’t tied to an approved campaign. So if you skip registration, your system may say “sent” while the caller never gets it. That’s why the test above matters.

Texting rules for contractors, in plain words

This is not legal advice. Rules change and vary by state. Check with your provider and, if you text at any volume, a lawyer.

A reply is not a marketing campaign

A text back to someone who just called you is a reply to them. Texting a list of past leads about a spring special is marketing. Marketing texts need prior consent. Don’t add missed callers to a promo list just because they called.

Honor STOP right away

Under the FCC’s rules, a reply using words like “stop,” “quit,” “end,” “revoke,” “opt out,” “cancel” or “unsubscribe” counts as a reasonable way to revoke consent, and the rule allows up to ten business days to honor it. Don’t wait. Make sure your system stops texting that number as soon as it sees one of those words, and that a human reading “stop texting me” in plain words does the same. Some providers also ask you to add “Reply STOP to opt out” to your first message. Follow your provider’s rules.

Watch the clock

Federal rules bar telephone solicitations to homes before 8 a.m. or after 9 p.m., local time where the person is. Some states set tighter windows. Florida’s telemarketing law, for one, bars commercial telephone solicitation calls before 8 a.m. or after 8 p.m. in the called person’s time zone. A one-time reply to someone who called you a minute ago is different from a sales message, but keep your own follow-up texts inside normal hours, and check your state’s rules.

Always say who you are

Your company name and a real first name go in the first text. No vague “Hi, we missed you!” from an unknown number.

Only send Spanish if someone on your team can follow up in Spanish.

12. Follow-up if no reply (2 to 3 hours later, once):

Hi, [your name] with [company] again. Just checking you got my text. If you called about a project, reply here or call me back at this number.

After that, try one call. If there’s still no answer, stop. They may have called by mistake. More texts for first replies, no-shows and follow-ups are in the free text templates.

What to do when callers text back

The text holds the lead. You still have to win it.

Triage rules

Reply What to do By when
New project with details Call. Ask your qualifying questions Within 1 hour in work hours, by 9 a.m. if after hours
New project, no details Text one question: “What are you planning, and where?” Within 15 minutes
Current client issue Pass to the project lead Same day
Warranty Log it, ask for a photo, schedule a visit Reply within 1 business day
Emergency (water, safety) Call now Right away
Vendor, sub or sales pitch Reply only if you need them When you have time
Wrong number or spam Short “no problem” or ignore No rush
STOP Stop texting that number. Mark it in your list Right away

Log the lead

Every new-project reply goes in your lead list: name, number, date and time of the call, what they said, who owns it and the next step. If you don’t log it, a “not until spring” turns into a lost job.

The call back

Reference the text so they know who you are:

“Hi [name], this is [your name] with [company]. You called earlier and texted about your [project]. Is now an OK time for a few minutes?”

Then ask about the project, the location, whether they own the land or home, budget range, financing and timeline. The tire-kicker quiz questions give you the full list and how to sort the answers.

A voicemail greeting that matches

Some callers will leave a voicemail before the text arrives. Tell them it’s coming.

Work hours:

“You’ve reached [company], this is [your name]. I’m probably on a job site. You’ll get a text from us in a minute. Text back what you’re planning, it’s the fastest way to reach me. If you’re a current client, say so in the text. Thanks.”

After hours:

“You’ve reached [company]. We’re closed for the day. You’ll get a text from us shortly. Reply with what you’re planning and we’ll call you tomorrow morning. If you’re a current client with an emergency, text the word URGENT.”

Only say URGENT if someone actually watches for it.

Metrics to watch

Check these once a month. Your phone system’s call log should show most of them.

  • Missed call rate = missed calls ÷ total inbound calls.
  • Delivery rate = texts delivered ÷ texts sent. Low delivery often means a registration problem or landline callers.
  • Reply rate = callers who texted back ÷ texts delivered.
  • Call-back time = time from the reply to your call.
  • Recovered appointments = site walks booked from missed calls.

Worked example

Say your business number gets 60 calls a month and you miss 24 of them. That’s a 40% missed call rate. Texts go out on all 24, and 20 are delivered (4 callers were on landlines). 10 people text back, a 50% reply rate. Of those, 5 are new projects and 2 book a site walk.

If you close 1 in 4 site walks and your average job is $80,000, those 2 site walks are worth about $40,000 in expected work a month. These are made-up numbers to show the math. Use yours.

Notes by trade

Remodelers. Many calls are from current clients. Use the “1, 2 or 3” triage text so new leads don’t get buried under “when is the tile coming?” More in remodeling contractor marketing.

Pool builders. Spring brings a pile of calls. Set this up in winter, not in April. See pool builder marketing.

Custom home and barndo builders. Calls are fewer and bigger. Use the form-link script so callers answer your land and financing questions before you call back. See home builder marketing.

Commercial and metal building contractors. GCs and owners expect a quick, plain reply. Drop the casual tone: “Got your call, I’m on site. I’ll call you back by 2. If it’s about a bid, email the drawings to [email].”

Common mistakes

  • No registration. Texts show as sent but never arrive. Fix: register and test from an outside phone.
  • One message for every hour. A “call you within the hour” text at 10 p.m. makes a promise you won’t keep. Fix: separate work-hours, after-hours and weekend texts.
  • No company name. The caller doesn’t know who’s texting. Fix: put your company in the first line.
  • Nobody watches replies. The text gets a reply and it sits for two days. Fix: alerts to whoever is on duty, plus a lead list.
  • Turning callers into a marketing list. Fix: keep it to replies. Get consent before marketing texts.
  • Ignoring “stop.” Fix: test STOP and stop right away on plain-word requests too.
  • Never testing again. Settings break when someone changes a phone, plan or provider. Fix: test once a month.

Frequently asked

What is missed call text back?

It’s an automatic text sent to anyone who calls your business and doesn’t reach you. It tells them who you are and what happens next, usually within a few seconds of the missed call. It keeps the caller from moving on to the next builder while you’re on a job.

How does missed call text back work?

Your business number runs through a phone app, lead system or call service that rings your cell. If nobody answers, the software sends a saved text to the caller from your business number. Some setups use conditional call forwarding from your existing cell instead.

Do I need A2P 10DLC registration for missed call text back?

If you send texts from software on a regular U.S. 10-digit number, generally yes. Registration tells the carriers who you are and what you send. Without it, carriers may filter or block your texts.

Replying to someone who just called your business is different from sending marketing texts, which need prior consent. Say who you are, honor STOP right away and keep follow-ups within normal hours. Rules vary by state, so check yours. This isn’t legal advice.

Can I set up missed call text back on my cell phone?

Sometimes, through carrier or phone features, but those tend to be basic. The fuller setups come through a business phone app or lead system, either with a new business number that rings their cell or with conditional forwarding from their current number.

What should a missed call text say?

Your name, your company, that you missed the call, and one next step: reply with details, fill in a form or expect a call by a set time. Keep it near 160 characters. Use different texts for work hours, after hours and weekends.

Missed call text back and a 60-second text on every form are part of Get Fully Booked. For the full first-hour playbook, read speed to lead for contractors.
